Pricing & Billing Rules

    📌 Key Points:

    • Each block = 1 hour

    • Tier hours are final BOOKED hours only (cancelled excluded)

    • Short-notice surcharge applies when created <24h before start

    • Grace: cancel within 30 minutes = no fee

    • Room switch at same time = no fee

📊 Tiered Room Rates

Rates are applied to final BOOKED hours only for the month. Cancelled bookings are excluded from tier calculations. All rates are ex GST.

⚡ Short-Notice Surcharge

If a booking is created less than 24 hours before the start time, an additional surcharge applies.

❌ Cancellation Fees

Cancellation fees are based on the time between when you cancel and when the booking starts.

🎁 Cancellation Exceptions (No Fee)

Grace Period: If you cancel within 30 minutes of creating the booking, no cancellation fee applies.
Room Switch: If you cancel a booking and create a new one for the same time slot in a different room (within 30 minutes), no cancellation fee applies to the cancelled booking.

💰 GST

All rates shown above are ex GST. GST of 10% is added to the final total.

📅 Billing Period

Billing is calculated per calendar month (1st to last day of the month)
Month assignment is based on the booking's start date in Australia/Melbourne time
Timezone: Australia/Melbourne (AEST/AEDT)

📝 Billing Examples

Example 1: Normal Booking (No Surcharges)

You book 10 hours in a month, all created more than 24 hours in advance.
Calculation:
• First 5 hours @ $31.50 = $157.50
• Next 5 hours @ $26.50 = $132.50
• Subtotal (ex GST): $290.00
• GST (10%): $29.00
• Total (inc GST): $319.00

Example 2: Short-Notice Booking

You book a 2-hour session created 12 hours before start (short notice).
Calculation:
• Base: 2 hours @ $31.50 = $63.00
• Short-notice surcharge: 2 hours @ $6.00 = $12.00
• Subtotal (ex GST): $75.00
• GST (10%): $7.50
• Total (inc GST): $82.50

Example 3: Grace Period Cancellation

You book a session at 14:30 and cancel it at 14:45 (15 minutes later).
Result: No charge (cancelled within 30-minute grace period).

Example 4: Room Switch

You book Room A for 15:00–16:00 and cancel it, then immediately book Room B for the same time.
Result: Only Room B session billed. Room A cancellation has no fee (room switch detected).

Example 5: Late Cancellation (Less than 24h)

You book 10:00–11:00 and cancel it 12 hours before the start time.
Calculation:
• Cancellation fee: 1 hour @ $12.00 = $12.00
• GST (10%): $1.20
• Total (inc GST): $13.20
