Carlton Counselling Rooms Practitioner Guidelines

Your safety — and your clients' — is our top priority.

  • Key codes are confidential and must not be shared. If you forget them, email us for a reminder.
  • Front and back doors must stay closed at all times.
  • We screen all practitioners (registration + insurance) to ensure a safe environment.
  • Ask clients who arrive early to state the name of their counsellor to assist the screening process.
  • Please stay alert to anything unusual and reach out if you have concerns.

To help everyone know who is in the building:

  • On arrival, write your name and session times next to your room on the hallway whiteboard.
  • When you leave, erase your name.
  • Please ensure your booked hours match your whiteboard entry.

We share these rooms as professionals — mutual respect keeps everything running smoothly.

Practitioners are expected to:

  • Record bookings accurately in the system
  • Treat fellow practitioners and clients with courtesy
  • Keep rooms and shared areas tidy
  • Be mindful of time and room availability

Please:

  • Vacate rooms on time to allow the next session to start smoothly.
  • Avoid interrupting sessions unless absolutely necessary.
  • Stay in the building while your client is present and ensure no clients wait inside unattended.
  • Finish conversations before opening your counselling room door.
  • Encourage clients to speak quietly in corridors.
  • Keep discussions with colleagues to rooms or the kitchen — not hallways.
  • Ask waiting clients to move outside if noise becomes disruptive.

To avoid confusion and ensure fairness:

  • Cancel bookings you no longer need.
  • Double-check bookings before arriving.
  • If changing rooms or times, update the booking system.
  • Always ensure your name is on the room you're using.
  • If you run over and the room is available, please book the extra time.

Before leaving:

  • Take cups to the kitchen and wash them.
  • Do not leave food in bins.
  • Return furniture and items to their original position.
  • Tidy the waiting area if your clients have used it.

Some practitioners store materials in cupboards. Please:

  • Do not move or use belongings unless they are clearly shared resources.
  • Report any damages and we'll resolve them promptly.
  • Your care helps keep the rooms comfortable for everyone.
  • Itemised invoices are emailed monthly.
  • Pay securely via the "Pay Now" link on your invoice.
  • You can view previous invoices and payment history in the booking system.

HICAPS terminals are available at Drummond Street for Medicare and private health rebates.

By using the rooms, practitioners agree to:

  • Maintain current registration and insurance.
  • Record all usage in the booking system.
  • Use rooms only for appropriate counselling activities.

  • Pay invoices on time.
  • Secure the building when leaving last.
  • Avoid operating a competing rooms business nearby.
  • Take responsibility for clients while on premises.
